What happens after I buy?

Once you sign up, you’ll receive onboarding details right away. We’ll schedule a quick onboarding call, then begin customizing and training your AI Assistant for your practice. Within 3–5 business days, you’ll receive a demo version to review. You’ll be able to test it and request adjustments before it goes live on your site.

Is this HIPPA-compliant?

Flo Chat does not collect or store Protected Health Information (PHI). Instead, it only gathers basic directory-level details like name, email, insurance type, and service interest. All personal health information, intake forms, and session notes remain securely handled inside your scheduling or EHR platform (such as SimplePractice). Because no PHI is captured, HIPAA does not apply to Flo Chat directly.

Does the AI Assistant handle scheduling for me?

Your AI Assistant does not directly manage scheduling. Instead, it guides clients to your existing scheduler (such as SimplePractice or any other EHR platform you use). This ensures all bookings remain secure and organized in your preferred system.

What if someone chats but doesn't book a session?

If a potential client engages with your AI Assistant but doesn’t complete booking, you’ll be notified. You’ll receive their contact details so you can personally follow up and invite them to schedule a consultation or session.

Can the AI Assistant answer client questions about therapy?

Yes - it can be trained on your practice’s services, specialties, insurance, fees, and FAQs. It can answer common client questions (e.g., “Do you take Aetna?” or “Do you see teens?”). It does not provide clinical advice - only practice information and session guidance.

How is the AI Assistant different from a virtual assistant (VA)?

A VA needs hours, training, and ongoing management. Flo Chat runs 24/7, never misses a message, and is customized once for your practice. It’s like having a reliable front desk assistant always online - at a fraction of the cost.

Can I make changes after it's launched?

Absolutely. If you update your services, fees, or FAQs, we can quickly adjust your AI Assistant. Your practice will always stay current without needing to rebuild from scratch.

What if I don't use SimplePractice?

No problem. Flo Chat integrates with any scheduler or EHR platform that offers a client portal or booking link. The AI Assistant simply directs clients to your preferred system.

How much do I save with the annual plan?

The monthly plan is $297/month ($3,564/year). The annual plan is $197/month ($2,364/year). That’s a savings of $1,200 - about 4 months free compared to paying month-to-month.

What if I want to cancel?

There are no long-term contracts. You can cancel anytime. Your AI Assistant will simply be removed from your site, and you’ll no longer be billed after the current cycle.
